Welcome to the Students’ Services Unit
The Students’ Services Unit (SSU) is committed to supporting students throughout their academic journey at the University of Vocational Technology. The Unit provides a range of administrative and student support services to ensure a smooth and productive learning experience. Located on the Ground Floor of the New Building, the SSU serves as the central point for student records, official documentation, student requests, and various administrative services.

Services We Provide
Student Records Management
The Students’ Services Unit maintains and updates student records throughout the period of study, including:
- Student applications
- Registration records
- Payment records
- Official correspondence
- Attendance records
Studentship Confirmation Letters
The Unit issues official studentship confirmation letters required for:
- Scholarships
- Employment purposes
- Bank loans
- Visa applications
- Other official requirements
Student Identity Cards
The SSU coordinates the issuance and replacement of University Student Identity Cards.
Attendance Records
The SSU maintains and verifies student attendance records. Attendance files are issued by the SSU and given to lecturers to record student attendance.
Medical Leave Processing
Students who are unable to attend examinations due to medical reasons may apply for medical leave through the prescribed procedure.
Information and Statistics
The Unit provides student-related information and statistical reports to relevant internal and external stakeholders.
EMIS Administration
Management and maintenance of student data within the Education Management Information System (EMIS).
Student Deposit Refunds
The SSU processes student deposit refund applications upon completion of studies.
Fingerprint Registration
Students who need monthly attendance records for submission to relevant authorities should complete fingerprint registration.
Academic Council Decisions
When the request letter is submitted, forwarded to the Head of Department. After the final decision is made by the Academic Council, the letter is prepared and issued accordingly.
Approval Process for Student Requests
Student submits request to SSU.
SSU forwards the request to the Head of Department.
Head of Department reviews and recommends.
Faculty Board considers the request.
Academic Council grants approval.
Decision is communicated to the Student Services Unit.
Student is informed of the outcome.
Student Requests and Applications
Students may submit requests for:
Medical Leave
Required documents:
- Request letter addressed to the Head of Department
- Completed Medical Leave Application Form
- Certified Medical Certificate issued by a registered Medical Practitioner
Applications must be submitted within one month from the date of the examination.
Cancellation of Registration
Students who wish to discontinue their studies may apply for cancellation of registration according to University regulations.
Batch Transfers
Eligible students may request a transfer between academic batches subject to approval.
Other Administrative Requests
Students may contact the Unit regarding attendance records, student information updates, and other administrative matters.

Policy
- • Registration fees are non-refundable.
- • Students who withdraw within one month of registration may be eligible for a refund of 75% of applicable fees excluding deposits, subject to University regulations.
- • Completed students may collect their deposit after the convocation.

- Technical assistance for academic activities
Important Notices for Students
- •Clearly indicate your name and registration number when making payments.
- •Submit bank deposit slips to the Student Services Unit after making direct bank payments.
- •Regularly follow up on requests and payment confirmations.
- •Inform the Unit immediately if your student ID card is lost.
- •Register for the fingerprint attendance system where applicable.
- •Notify the Unit promptly of any changes to your contact information.
